# Change Booking Activity (/how-to/bookings/change-booking-activity)



Change a booking's activity when a customer wants to switch to a different experience -- for example, moving from a 1-hour jet ski rental to a 2-hour pontoon cruise. This is a more complex operation than rescheduling because it may require new equipment, different pricing, and potentially a new time slot.

Before you begin [#before-you-begin]

* The booking must not be in a **Canceled** status.
* The new activity must be at the **same location** as the current booking.
* Navigate to the booking you want to modify.

Step 1: Preview the activity change [#step-1-preview-the-activity-change]

Before committing to the change, preview what will happen:

1. Go to **Bookings** and open the booking.
2. From the actions menu (three-dot icon), you can initiate an activity change through the **Change Activity** dialog.
3. Select the new activity from the list of available activities at your location.
4. The system shows a preview with:

| Preview Field           | Description                                                                                      |
| ----------------------- | ------------------------------------------------------------------------------------------------ |
| **Availability**        | Whether the new activity is available at the booking's current time slot.                        |
| **Requires Reschedule** | If the new activity is not available at the current time, you will need to pick a new time slot. |
| **Equipment Changes**   | A breakdown of what happens to each piece of equipment on the booking.                           |

Equipment compatibility [#equipment-compatibility]

The preview shows each piece of equipment with one of these change types:

| Change Type   | Meaning                                                                                  |
| ------------- | ---------------------------------------------------------------------------------------- |
| **Preserved** | The equipment is available on the new activity and will be kept with the same quantity.  |
| **Removed**   | The equipment is not available on the new activity and will be removed from the booking. |

If equipment needs to be removed, the preview explains that the item is "Not available for this activity" and lists the equipment that the new activity offers as alternatives.

Step 2: Select equipment (if needed) [#step-2-select-equipment-if-needed]

If the new activity has different equipment:

* **Automatic migration**: If you do not select specific equipment, the system automatically migrates compatible equipment and removes incompatible items.
* **Manual selection**: You can explicitly choose which equipment and add-ons to use on the new activity, including quantities and add-on selections.

| **Preserve Incompatible Equipment** | When using automatic migration, this option keeps equipment records even if they are not assigned to the new activity. Off by default. |
| **Selected Equipment**              | Explicitly specify equipment UUIDs, quantities, and add-on selections for the new activity.                                            |

Step 3: Select a new time (if needed) [#step-3-select-a-new-time-if-needed]

If the new activity is not available at the booking's current time:

1. Browse available time slots for the new activity using the date range picker.
2. Select a new start and end time.

The system checks availability considering the new activity's scheduling rules, equipment inventory, and existing bookings.

Step 4: Confirm the change [#step-4-confirm-the-change]

Click **Change Activity** to apply. The system will:

1. Update the booking's activity reference.
2. Migrate or replace equipment based on your selections.
3. Remove all existing line items and regenerate them with the new activity's pricing.
4. Update the booking time if a new time slot was selected.
5. Sync with connected [calendar integrations](/how-to/calendar-integrations).

What changes on the booking [#what-changes-on-the-booking]

| **Activity**      | Updated to the new activity.                                                                                  |
| **Equipment**     | Migrated, replaced, or removed depending on compatibility.                                                    |
| **Add-ons**       | Add-ons attached to removed equipment are also removed.                                                       |
| **Line items**    | All existing line items are cleared and recalculated for the new activity's pricing, equipment, and duration. |
| **Time slot**     | Updated if a new time was selected; otherwise stays the same.                                                 |
| **Status**        | Unchanged.                                                                                                    |
| **Customer info** | Unchanged.                                                                                                    |
| **Notes**         | Unchanged.                                                                                                    |
| **Invoices**      | Existing invoices are not modified. You may need to create a new invoice if the balance changed.              |

Tips [#tips]

* **Preview before committing.** Always use the preview step to understand the financial impact before changing activities. The repricing may result in a higher or lower total.
* **Cross-activity equipment is automatically preserved.** If a piece of equipment is assigned to both the old and new activities, it will be kept on the booking with no action needed.
* **Balance adjustments may be needed.** After an activity change, check the booking's balance. If the new activity costs more, you may need to [send an invoice](/how-to/bookings/send-booking-invoice) for the difference. If it costs less, consider issuing a refund through the Payments tab.
* **Cannot change to a different location.** The new activity must belong to the same location as the original booking.

Common questions [#common-questions]

**Can I change the activity on a canceled booking?**
No. The booking must be in Confirmed, Pending, or Draft status.

**What happens to custom line items I added?**
All line items -- including custom ones -- are cleared and regenerated. If you need to re-add custom charges, do so after the activity change using [Manage Line Items](/how-to/bookings/manage-line-items).

**Will the customer be notified?**
The activity change itself does not automatically send a notification email. If you want the customer to know, resend the confirmation email from the booking actions menu or communicate directly.
