Customize Your Confirmation Email
Use the email builder to redesign the booking confirmation email for an activity or a whole location.
Redesign the booking confirmation email your customers receive using the drag-and-drop builder. This guide customizes one activity's email; the same steps apply to a location-wide default.
Before you start
- You need a staff account with activity write access.
- Have at least one real booking at your location — you'll use it to preview.
Steps
1. Open the builder
For one activity: go to Activities → your activity → Settings → Communication and select Create template. For a location-wide default: go to Email Templates in the dashboard navigation instead.
Name the template (for example, "Summer 2027 look") and continue. The editor opens with a layout that matches your current confirmation email, with any existing email body and terms text already in place.
2. Arrange the layout
- Drag blocks from the toolbox onto the canvas: headings, text, images, buttons, dividers, columns.
- Drag existing blocks to reorder them; select one and delete it to remove it.
- Booking sections (order summary, payment status, when/where, and so on) fill with each booking's real data — place them where you want, and configure options like showing the map or unit prices in the properties panel.
3. Personalize the text and subject
Select a text block, then use the variable picker to insert values like {{customer.name}} or {{booking.confirmationCode}}. Edit the subject line at the top of the editor the same way — for example: See you soon, {{customer.name}}! ({{booking.confirmationCode}}).
4. Preview against a real booking
Open Preview, choose one of your bookings as the sample, and check the result — it renders exactly what a customer would receive, including your unsaved edits. Use Send test email to deliver it to your own inbox (marked [TEST]).
5. Save and enable
Save (Ctrl+S works). Fix any warnings about unrecognized variables — those block enabling. Then select Enable. New confirmations for the activity now use your design.
Good to know
- Enabling a template disables any other enabled template for the same activity (or location).
- Activities without any enabled template keep sending the standard confirmation email, unchanged.
- An activity template always wins over the location default; disable the override to fall back.
- If a template ever fails to render, customers still get the standard email and you receive an alert — confirmations are never blocked.
