Track Promotion Usage

How to monitor coupon redemptions, gift card balances, and transaction history in Resytech to measure promotion performance.

Tracking how your promotions perform helps you decide which campaigns to continue, adjust, or retire. Resytech provides usage data for both coupons and gift cards directly in the dashboard.

Tracking coupon usage

Coupon list overview

Navigate to Coupons in the sidebar to see all active coupon campaigns. Each coupon card displays:

  • Discount badge -- the discount type and amount (e.g., "20% Off" or "$15 Off").
  • Usage count -- the total number of times this coupon has been redeemed across all codes.
  • Code count -- the number of coupon codes attached to this campaign.
  • Feature flags -- indicators for whether the coupon applies to add-ons or removes taxes and fees.
  • Window count -- the number of purchase and arrival windows configured.

Click the edit icon on any coupon to see more detail:

  • Overall usage limit: if a limit is configured, the current usage count is displayed alongside the limit (e.g., "42 used" out of 100).
  • Per-code usage: each code in the Coupon Codes section has been tracked since creation. You can see individual code performance when you have multiple codes under one campaign.
  • Window configuration: review which purchase and arrival windows are active to understand the coupon's current validity period.

Tracking gift card activity

Gift card list overview

Navigate to Gift Cards in the sidebar. The list page provides:

  • Summary statistics at the top of the page:
    • Total Cards -- the total number of gift cards across all statuses.
    • Active -- the number of cards with a positive, non-expired, non-voided balance.
    • Outstanding Balance -- the sum of all active gift card balances (your total gift card liability).
  • Search and filter tools:
    • Search by gift card code, purchaser name, purchaser email, recipient name, or recipient email.
    • Filter by status: Active, Depleted, Expired, or Voided.
  • Pagination: results are paginated for locations with many gift cards.

Click any gift card to see its full profile:

  • Balance display -- current balance, original amount, a percentage bar, and dollar amount used.
  • Status badge -- Active (green), Depleted (gray), Expired (amber), or Voided (red).
  • Purchaser and recipient info -- names, emails, and any custom message.
  • Dates -- creation date, expiration date (if set), and void date (if applicable).
  • Source -- whether the card was created from the dashboard or purchased online.
  • Void reason -- if the card has been voided, the reason is displayed.

Transaction history

The bottom of the gift card detail page shows a complete transaction log, ordered from newest to oldest. Each entry includes:

Looking up a specific gift card

If a customer contacts you about a gift card, you can find it quickly:

  1. Navigate to Gift Cards in the sidebar.
  2. Use the search bar to search by code, purchaser name, or email.
  3. Alternatively, from the API, you can use the gift card lookup endpoint to find a card by its exact code.

Tips

  • Monitor outstanding balance regularly. This represents an unredeemed financial obligation. A large and growing outstanding balance might mean your gift cards are not being redeemed, which could indicate awareness or usability issues.
  • Watch for coupons nearing their usage limit. If a popular campaign is about to hit its limit, decide whether to increase it or let it expire naturally.
  • Filter by "Depleted" to find fully used cards. This tells you the gift card was successfully used to completion, which is the ideal outcome.
  • Use the transaction history for customer disputes. If a customer claims their gift card balance is wrong, the transaction log provides a complete audit trail with timestamps and amounts.
  • Compare coupon usage across codes. If you gave unique codes to different marketing channels, the per-code usage tells you which channel drove the most redemptions.
