Create an Activity Voucher Promotion
How to set up, publish and share a "buy now, choose your date later" voucher promotion for a rental activity.
An Activity Voucher promotion sells a prepaid rental at a discounted price during a sale window. Customers book an eligible date later by applying their voucher code at checkout.
Before you begin
- You need Resources: Edit permission.
- The activity must be a published equipment rental with per-equipment pricing and at least one fixed duration shorter than a day, with enabled equipment assigned. Tours and admissions are not supported yet.
- Your location needs a connected Stripe account. Sales are in USD.
- Decide the cancellation outcomes you will promise. All four are required before publishing.
Steps
- In the sidebar, click Resources, then Activity Vouchers.
- Click Create Promotion.
- Fill in Promotion details:
| Field | Required | Description |
|---|---|---|
| Promotion name | Yes | Customer-facing name, for example "Black Friday: 30-minute jet ski rental". |
| Description | No | Text shown on the purchase page. |
| Promotion link name | To publish | Becomes the purchase page address: /vouchers/<link-name>. Lowercase letters, numbers and single hyphens. It follows the name automatically until you edit it, and is locked after the first publication. |
| Price per voucher (USD) | To publish | The discounted price of one voucher, before taxes and fees. |
| Maximum vouchers per order | Yes | 1 to 100, default 20. |
| Total sales cap (optional) | No | Maximum vouchers sold across the whole promotion. Leave empty for unlimited. |
- Under What each voucher covers, select the Activity, its Duration and the Rental units per voucher (normally 1). Tick each Eligible equipment type the voucher may be used for. Optionally add Included add-ons with the quantity prepaid per voucher. Check the coverage summary sentence reads the way you want customers to understand it.
- Under Sale and redemption dates, set On sale from and Sale ends, the First valid departure date and Last valid departure date, and optionally Bookings open / Book by, Allowed departure weekdays and Excluded departures for holidays or special events.
- Under Cancellation policy, set the On-time cancellation cutoff before departure and choose Restore voucher or Forfeit voucher for on-time customer cancellation, late customer cancellation, no-show and operator cancellation. Write your Additional cancellation and refund terms.
- Click Save Draft. You can save an incomplete draft and come back to it; publishing is what validates everything.
- Click Review & Publish. The dialog shows the terms exactly as customers will see them. Click Publish Promotion.
The promotion status changes to Published and the purchase page is live as soon as the sale window opens.
Share the purchase page
The purchase page address is your booking site domain followed by /vouchers/ and the link name, for example https://book.example.com/vouchers/black-friday-jet-ski. Find your domain under Location > Booking Domain.
There is no public index of promotions, so add the link to your website, email campaign or social posts. On a site that already has the Resytech Book Now script, a button with data-resytech-voucher="black-friday-jet-ski" opens the purchase page in the booking modal. See Activity Voucher Mode.
Changing a published promotion
- Edit the Draft Settings tab and click Save Draft; the published terms stay unchanged until you Review & Publish again. Each publication creates a new revision listed under Publication History. Vouchers sold earlier keep the terms they were bought under.
- Pause Sales stops new purchases immediately without affecting sold vouchers. Publishing again resumes sales.
- Archive closes the promotion permanently. Sold vouchers remain valid and refundable.
- The link name cannot be changed once published. Create a new promotion for a new address.
What happens next
- Customers buy at the purchase page and receive their codes on screen and by email.
- Orders appear on the promotion's Orders & Vouchers tab. See Manage Voucher Orders.
- Redemptions create normal Confirmed bookings on your calendar. See Redeem an Activity Voucher.
- Collections, outstanding vouchers and funded bookings are reconciled in Reports > Financials > Activity Vouchers.
Tips
- Sell before the timetable exists. Vouchers do not need departures to be published yet. Customers can buy in November for a season that opens in May; make sure the schedule is live before Bookings open.
- Exclusions win. If a holiday falls inside the valid departure range, add it under Excluded departures. Customers see every exclusion before paying.
- Keep one activity per promotion. A voucher cannot be exchanged for another activity or duration. Create a second promotion for a second product.
- Taxes and fees are collected up front. Customers pay them with the voucher, and a fully covered booking asks for nothing more at checkout. Check taxes and fees apply to the covered activity before publishing.
