Tour Schedule & Manifests
View a tour's daily departures, seat occupancy, and per-departure guest manifests.
Tour activities run fixed departure times each day. The Tour Schedule gives your staff a dedicated operational view of those departures: who is going out, when, on which departure, and who has actually arrived.
The schedule is available for Tour-type activities only. Open an activity's dashboard and click View Schedule next to Edit Settings. The main dashboard also links here: time groups that contain tour bookings show a Departure shortcut that jumps straight to that time's manifest.
Daily Schedule
The schedule page shows one day of departures at a time, defaulting to today. Use the date picker or the previous/next arrows to move between days; the date is part of the page URL, so a specific day can be bookmarked or shared with staff.
Each departure row shows:

A departure marked Off-schedule contains bookings whose time no longer matches any generated slot — for example, a booking that was manually retimed, or a departure time that was later removed from the scheduling settings. These bookings are always shown so nothing disappears from the manifest.
Draft (unpublished) tours still show their schedule, with a banner reminding you that customers can't see or book the activity.
Departure Manifest
Click a departure to open its manifest page. It shows:
- Stat cards — seats booked, seats still sellable, total guests, and guests arrived.
- Guest breakdown — total guests per category (e.g., 12 × Adult, 3 × Child), aggregated across all bookings on the departure.
- Booking list — each booking with customer name, confirmation code, guest counts (with arrived counts), seats, status, and outstanding balance.
Checking guests in
Staff with booking write permission have three ways to check a party in:
- Scan (mobile app): both schedule pages show a Scan Check-In Code button. Scanning a guest's QR code opens the arrival roster — tick who is present, set per-category counts, and press Check In. Codes for the wrong departure, day, or activity are explained rather than silently accepted.
- Per-booking buttons on the manifest rows check a whole booking in (or undo it) in one tap.
- The booking's Check In tab carries the same arrival roster for tours, no camera needed.
Check-in requirements configured for the activity — such as required waivers or guest information — are enforced everywhere: if a booking isn't eligible, the reason is shown and arrivals stay saved.
Balances are only visible to users with finance read permission.
Notes on seat counts
Seat numbers on the schedule come from the same availability engine your public booking site uses, so what staff see always agrees with what customers can buy. "Booked" counts the seats sold on that specific departure; "sellable" is the live number a customer would be quoted. The two can differ only when two departures genuinely overlap in time and share the same vehicle capacity.
