Check In Tour Guests
How to check tour parties in with QR scanning or the arrival roster in Resytech.
Every tour booking carries a scannable check-in QR code (in the confirmation email and on the customer's booking page), and every tour booking has an arrival roster for recording who actually showed up. Check in by scanning (mobile app)
- In the Resytech app, open the tour's schedule (Activity → View Schedule) or a specific departure's manifest. The main dashboard's time groups also show a Departure shortcut for tour times.
- Tap Scan Check-In Code and point the camera at the guest's QR code (from their confirmation email or their booking page).
- In the roster that opens, tick the named guests who are present and set the per-category counts (e.g., Adults 2 of 3).
- Press Check In.
What the button does:

| Whole party selected | Saves the arrivals and checks the booking in. |
| Partial selection | Saves the arrivals only — the button reads Save Arrivals and the booking stays not-checked-in. |
| Requirements missing (waivers, guest info) | Arrivals are saved; the blocking reasons are listed so you can resolve them on the booking. |
If the scanned code doesn't belong on this screen — wrong activity, a different day ("too early" for future dates), a different departure time, a canceled or rescheduled booking — the dialog explains exactly what's wrong and offers to open the booking instead.
Check in without scanning
- Manifest rows: each booking on a departure's manifest page has a one-tap Check in / undo button for the whole party.
- The booking's Check In tab: every tour booking shows the same arrival roster there, so the front desk can record arrivals from any browser.
Undoing a check-in
Press Undo on the roster's "Booking checked in" banner. This reverts the check-in and clears the arrival marks — the manifest goes back to showing the party as not arrived.
Where arrivals show up
- The schedule's day view has an Arrived column per departure (guests arrived / total guests).
- The departure manifest shows a Guests arrived stat and per-booking arrived counts.
- Every change is recorded in the booking's event log (
guests_arrived/guests_arrival_reverted).
Checking in and recording arrivals require booking write permission. Scanning requires the mobile app; the roster works everywhere.
