Use the Booking Calendar
How to view, navigate, and filter bookings using the calendar and list views in the Resytech dashboard.
The booking calendar is the primary way to see your daily schedule at a glance. It shows all bookings for a selected date, organized by time and activity, so you can quickly see what is coming up, who is booked, and where you have openings.
Accessing the calendar
- In the sidebar, click Bookings.
- Click the Calendar tab to switch to the calendar view.
The default view shows today's bookings. Only bookings with a Confirmed or Pending status appear on the calendar.
Calendar views
The dashboard offers two ways to view bookings:
Activity view
Bookings are grouped by activity. Each activity column shows its bookings laid out by time. This view is useful when you run multiple activities and want to see capacity across all of them simultaneously.
Time view
Bookings are arranged in a timeline format with time row headers. Each booking is displayed as a row showing the time range, customer name, and activity. This view is useful for seeing your full schedule sequentially.
Navigating dates
- Use the date picker to jump to a specific date.
- Use the arrow buttons to move forward or backward one day at a time.
- Click Today to return to the current date.
Booking list view
For a searchable, paginated list of all bookings (not limited to a single date):
- In the sidebar, click Bookings.
- The default tab shows the Booking List.
The list view displays bookings in reverse chronological order with:
| Column | Description |
|---|---|
| Activity | The activity name and thumbnail. |
| Customer | The customer's name. |
| Date & Time | The booking's scheduled date and start time. |
| Duration | The booking duration in minutes. |
| Status | The current booking status (Confirmed, Pending, Draft, or Canceled). |
Searching bookings
Use the search bar at the top of the booking list to find bookings by:
- Customer name
- Confirmation code
- Customer email
The search runs as you type and results update in real time. Previous search requests are automatically canceled when you type new characters, so you always see the latest results.
Pagination
The list loads 10 bookings at a time. Use the pagination controls to load more. The maximum page size is 50 bookings.
Viewing a booking
Click any booking in the calendar or list view to open the Booking Detail page. From there you can access all management tabs:
- Overview -- booking summary with equipment, pricing, demographics, and quick actions.
- Notes -- internal notes visible only to your team.
- Questionnaire -- custom field answers from the customer (if the activity has custom fields).
- Guests -- individual guest records with names and demographics (if the booking has guests).
- Invoices -- open and closed invoices for outstanding balances.
- Auto-Expire -- expiration settings for Pending bookings.
- Facilitators -- staff assignments for the booking (if the activity has facilitator roles).
- Reschedule -- move the booking to a different date or time.
- Payments -- transaction history, refunds, and payment collection.
- Waivers -- waiver submission status for this booking.
- Misc -- source tracking, communications log, event log, and other settings.
Not all tabs appear for every booking. For example, the Questionnaire tab only shows if the activity has custom fields, the Guests tab only shows if guest records exist, and the Auto-Expire tab only appears for Pending bookings.
Filtering by date range
To view bookings across multiple dates, the system supports fetching bookings within a date range. This is used internally by the calendar navigation to preload nearby dates for smoother navigation.
Tips
- Canceled and Draft bookings are hidden from the calendar. Only Confirmed and Pending bookings appear on the calendar view. To find canceled or draft bookings, use the list view and search.
- The booking list is sorted by last updated. The most recently modified bookings appear first, making it easy to find bookings you just worked on.
- Use confirmation codes for quick lookups. Every booking has a unique confirmation code. Customers often reference this code when calling, so searching by it is the fastest way to find a specific booking.
