Manage Facilitators
How to create, edit, and delete facilitator roles for an activity in Resytech.
Use this guide when you need to define staff roles for an activity. Facilitator roles represent the types of staff members who run or assist with an activity -- for example, a Captain, Guide, Instructor, or First Mate. Once created, facilitator roles can be assigned to specific bookings so you know who is working each trip.
Create a Facilitator Role
- Go to Activities > [Activity Name] > Settings > Facilitator Roles.
- Click Add Role.
- Enter a Role Name (max 150 characters). Examples: Captain, First Mate, Guide, Instructor, Assistant, Crew Member.
- Click Create Role.
The role is immediately available and appears in the roles table.
Quick Select Common Roles
The creation dialog offers quick-select buttons for common role names: Captain, First Mate, Guide, Instructor, Assistant, and Crew Member. Click one to pre-fill the name field.
Edit a Facilitator Role
- In the Facilitator Roles table, click the row of the role you want to edit (or click the edit icon).
- Modify the Role Name in the dialog.
- Click Save Changes.
Delete a Facilitator Role
- Click the trash icon next to the role you want to remove.
- Confirm the deletion when prompted.
Deleting a role removes it from the activity. If the role was assigned to any future bookings, those assignments will be cleared.
How Facilitator Roles Are Used
After creating roles, they become available when managing individual bookings. You or your team can assign specific staff members to each role for a given booking. This information:
- Appears on booking details in the dashboard.
- Can be included in confirmation emails sent to customers (if configured in Communication settings).
- Helps with staff scheduling and accountability.
Tips
- Create roles that match your real operational structure. If every tour has a guide and a safety officer, create both roles.
- Roles are specific to each activity. If you have the same role across multiple activities, you need to create it on each one. Consider using Clone Activity to copy roles along with other settings.
- You can have as many roles as needed per activity. There is no limit.
