Assign Equipment to Activities
How to link equipment to activities so it appears in the customer booking flow, including quantity allocation and status management.
Equipment must be assigned to at least one activity before it can appear in the customer booking flow. Assignments control which equipment is available for which activities, how many units are allocated, and whether the assignment is currently active.
When to assign equipment
- You just created new equipment and need it to appear during booking.
- You added a new activity and want to offer existing equipment for it.
- You want to split equipment inventory across activities (e.g., 3 kayaks for "Guided Tour", 2 kayaks for "Self-Guided Rental").
Assign equipment to an activity
- In the sidebar, click Activities, then select the activity.
- Go to the Settings tab, then find the Equipment Assignments section.
- Click Assign Equipment. A modal opens showing eligible equipment.
- Equipment that is already assigned to this activity is excluded from the list.
- Equipment with no remaining available quantity is shown but marked as ineligible.
- Click the equipment item you want to assign. A configuration form appears.
- Fill in the assignment settings:

| Quantity | How many units of this equipment to allocate to this activity. Cannot exceed the equipment's available (unallocated) quantity. |
| Status (Enabled/Disabled) | When enabled, the equipment appears in the booking flow for this activity. When disabled, it is hidden from customers but the assignment is preserved. |
- Click Assign Equipment.
Edit an equipment assignment
- On the activity's Equipment Assignments section, find the assignment.
- Click the three-dot menu and select Edit Assignment.
- Update the quantity or enabled status.
- Click Save Changes.
Quantity changes take effect immediately and affect future availability calculations.
Remove an equipment assignment
- Click the three-dot menu on the assignment.
- Select Remove Assignment.
- Confirm the deletion. This takes effect immediately.
Removing an assignment does not affect existing bookings that already include that equipment.
How quantity allocation works
Equipment quantity is shared across all activity assignments. The system tracks how many units are allocated to each activity and prevents you from over-allocating.
Example: You have 5 kayaks total.
- Assign 3 to "Guided Kayak Tour"
- Assign 2 to "Self-Guided Kayak Rental"
- Attempting to assign more will fail because all 5 units are allocated.
If you need more flexibility, increase the equipment's total quantity in the equipment settings.
Cross-activity exclusivity
If the equipment has Exclusive Across Activities enabled, the scheduling engine prevents double-booking across activities even when there is only one unit.
For example, a yacht assigned to both "Yacht Rental" and "Yacht Tour" with exclusivity enabled will block overlapping time slots across both activities. See Manage Equipment Availability for details.
Activity-level equipment settings
Activities also have settings that control how equipment behaves during booking:

| Max Equipment Per Booking | Limits how many equipment items a customer can add to a single booking for this activity. |
| Allow Equipment Mixing | When enabled, customers can select different types of equipment in a single booking (e.g., 1 jet ski and 2 kayaks). When disabled, they must choose a single equipment type. |
Tips
- No assignment = no visibility. Equipment that is not assigned to any activity will never appear in the booking flow, even if it is enabled with available quantity.
- Use disabled assignments for seasonal planning. If you offer snowmobile tours only in winter, disable the snowmobile assignment in summer rather than removing it.
- Check "No Equipment Available" errors. If the assignment modal shows no eligible equipment, either all equipment is already assigned to this activity, or all units are allocated to other activities. Create new equipment or adjust existing allocations.
- Link from equipment to activity. You can also assign equipment during the equipment creation process by selecting activities in the "Assignments" field.
