Structuring Your Bike Rental

Most bike shops rent multiple types of bikes that all follow the same schedule and duration options. This is a natural fit for the one activity, multiple equipment pattern.

Split activities when equipment types have different pricing structures, scheduling rules, or customer requirements. E-bikes often warrant their own activity because they command premium pricing, may require a safety orientation (longer buffer time), and might have age restrictions that don't apply to standard bikes.

For shops that offer flexible multi-day rentals (e.g., "rent for 1 to 7 days"), use Dynamic Duration Rental:

  • Hourly rate or daily rate (e.g., $45/day)
  • Minimum: 1 day
  • Maximum: 7 days
  • Increment: 1 day (customers choose in full-day blocks)

Equipment Configuration

Go to Resources > Equipment and create each bike type:

  • Beach Cruiser — Quantity: 30, Capacity: 1, Default Occupancy: 1
  • Mountain Bike — Quantity: 20, Capacity: 1, Default Occupancy: 1
  • E-Bike — Quantity: 15, Capacity: 1, Default Occupancy: 1
  • Kids Bike — Quantity: 10, Capacity: 1, Default Occupancy: 1

Custom properties are key for bikes:

  • Size — S, M, L, XL (so customers can filter by fit)
  • Frame Type — step-through, standard
  • Wheel Size — 20", 24", 26" (especially for kids/youth bikes)
  • Gear Type — single speed, 7-speed, 21-speed
  • Battery Range — for e-bikes (e.g., "40 miles per charge")

Mark important properties as Featured so they appear prominently on equipment cards during checkout.

Add-ons:

  • Helmet (include free or charge a small fee)
  • Lock
  • Basket or pannier bags
  • Phone mount
  • Child seat or trailer
  • Trail map

Additional price — if e-bikes cost $20 more than standard bikes per rental period, set the additional price on the e-bike equipment rather than creating a separate pricing structure.

Activity-Level Equipment Settings

On each activity's General tab:

  • Equipment Type Limit — set to 0 (unlimited) so a family can rent multiple bikes in one booking
  • Allow Equipment Mixingenable so a family can book a mix of adult bikes, kids bikes, and an e-bike together

Guided Bike Tours

If you offer guided rides alongside self-serve rentals, create a separate Tour activity:

  • Split your fleet quantities — reserve bikes for tours so they're always available even during peak rental hours
  • Add guides as facilitators under Location > Facilitators
  • Use Specific Times scheduling for tours (e.g., 9:00 AM and 2:00 PM departures)
  • Set Guest Limit on the Manifest tab (e.g., 10 riders per tour)
  • Tours can use different demographics — Adult ($55), Child ($35), Senior ($45)

Multi-Day Rentals

Bike rentals frequently span multiple days, especially for tourists and vacation destinations.

  • Use Dynamic Duration Rental activity type for flexible multi-day bookings
  • Resytech handles overnight transitions, weekend spans, and timezone-aware date boundaries automatically
  • Customers select their pickup date/time and rental length — the system calculates the return date
  • Set buffer time between multi-day rentals for bike inspection and maintenance

  • Signed PDFs are stored with full audit trails
