Choosing the Right Structure
ATV and off-road fleets are typically a mix of unique vehicles (a specific side-by-side, a specialty rock crawler) and semi-interchangeable inventory (a fleet of identical ATVs). Your setup depends on whether your vehicles follow the same rules.
Different vehicle types with different rules → separate activities:

ATVs and UTVs typically need separate activities because they have different pricing, different duration options, different safety requirements, and different age/license restrictions.

- 4-Seater UTV — Quantity: 3, Capacity: 4, Default Occupancy: 1

Exclusive Across Activities — enable this for every vehicle unless you have identical interchangeable units. Most off-road vehicles are individually identifiable assets (by VIN, name, or unit number), and you never want the same UTV double-booked between a self-guided rental and a guided trail ride.
Activity-Level Equipment Settings
- Equipment Type Limit — typically 1 for ATV rentals (one vehicle per rider). For families renting UTVs, set to 1 since each UTV holds multiple passengers.
- Allow Equipment Mixing — usually disabled for off-road vehicles, since a single booking is typically for one vehicle type
Scheduling & Buffer Time
Off-road vehicles need generous buffer time between rentals:

The buffer accounts for vehicle return, damage inspection, cleaning, refueling, and staging for the next rental. Don't skimp on this — off-road vehicles take real wear and need proper turnover time.
For guided trail rides, add extra buffer for the safety briefing before departure (e.g., 15 minutes of briefing + 15 minutes post-ride for vehicle inspection = 30 minutes total).

Guided Trail Rides

- Valid driver's license confirmation — required for self-guided rentals in most jurisdictions
- Insurance/damage responsibility — customer acknowledges financial responsibility for damage
- Protective gear acknowledgment — "I will wear the provided helmet and protective gear at all times"
- Medical fitness — "I am physically able to operate an off-road vehicle"
- Passenger consent — for UTV passengers who aren't driving
Waiver Workflow
- Link waivers to each activity — they appear during checkout
- Include signing links in confirmation emails
- All riders and passengers must sign — this is critical for off-road
- At check-in, verify waivers are signed before releasing any vehicle

Off-road vehicles are high-value assets, making deposits and damage waivers important:
- Online payments via Stripe for advance bookings
- In-person payments via Stripe Terminal at the front desk (Company Settings > Card Readers)
- Down payments — collect a deposit at booking (e.g., 50%) and charge the balance at pickup. Configure on each activity's Payment tab.
- Security deposits / card holds — use the down payment system to authorize a damage hold on the customer's card
- Taxes and fees — fuel surcharges, trail access fees, insurance fees, damage waivers under Resources > Taxes & Fees
- Trip protection — offer optional cancellation/damage protection at checkout (activity's Trip Protection tab)
- POS for selling gear, fuel, snacks, and merchandise
