ATV & Off-Road Rentals

How ATV and off-road rental businesses use Resytech to manage their fleet, guided rides, waivers, and operations.

ATV, UTV, side-by-side, and off-road vehicle rental businesses operate high-value equipment with mandatory waivers, guide-led trail rides, strict safety requirements, and seasonal demand. Resytech manages your fleet inventory, online bookings, liability waivers, and payments — while preventing double-booking on every vehicle.

Why Resytech for ATV & Off-Road Rentals

Off-road businesses face unique challenges: high-value vehicles that can't be double-booked, mandatory safety waivers and orientation for every rider, different vehicle types with different passenger capacities and requirements, guided vs. self-guided options, and significant security deposit needs. Resytech handles all of this.

Setting Up Your Fleet: Activities & Equipment

Choosing the Right Structure

ATV and off-road fleets are typically a mix of unique vehicles (a specific side-by-side, a specialty rock crawler) and semi-interchangeable inventory (a fleet of identical ATVs). Your setup depends on whether your vehicles follow the same rules.

Different vehicle types with different rules → separate activities:

ActivityEquipmentWhy
ATV RentalSingle-Rider ATV (qty: 10)Hourly rental, $75/hr, 16+ age requirement
Side-by-Side Rental2-Seater UTV (qty: 5), 4-Seater UTV (qty: 3)Half-day/full-day, $200–$350, valid driver's license required
Guided Trail RideSingle-Rider ATV (qty: 6)Fixed schedule, per person, guide-led

ATVs and UTVs typically need separate activities because they have different pricing, different duration options, different safety requirements, and different age/license restrictions.

Identical fleet with the same rules → shared activity:

If all your ATVs are the same model and follow the same schedule and pricing, one activity with one equipment item works.

Activity Types

UTV Full-Day RentalDynamic Duration RentalFlexible rental length, priced per hour with min/max

Equipment Configuration

Go to Resources > Equipment:

  • Single-Rider ATV — Quantity: 10, Capacity: 1, Default Occupancy: 1
  • 2-Seater UTV — Quantity: 5, Capacity: 2, Default Occupancy: 1 (driver only; passenger is additional)
  • 4-Seater UTV — Quantity: 3, Capacity: 4, Default Occupancy: 1

Custom properties:

  • Make/Model — Yamaha Grizzly 700, Polaris RZR, Can-Am Maverick
  • Engine Size — 450cc, 700cc, 1000cc
  • Drive Type — 2WD, 4WD
  • Transmission — Automatic, Manual
  • Difficulty Level — Beginner-friendly, Intermediate, Advanced

Add-ons:

  • Helmet (if not included — many states require it)
  • Goggles
  • Chest protector / body armor
  • GPS trail unit ($15)
  • Action camera mount ($20)
  • Cooler rack ($10)
  • Extra fuel can

Exclusive Across Activities — enable this for every vehicle unless you have identical interchangeable units. Most off-road vehicles are individually identifiable assets (by VIN, name, or unit number), and you never want the same UTV double-booked between a self-guided rental and a guided trail ride.

Activity-Level Equipment Settings

  • Equipment Type Limit — typically 1 for ATV rentals (one vehicle per rider). For families renting UTVs, set to 1 since each UTV holds multiple passengers.
  • Allow Equipment Mixing — usually disabled for off-road vehicles, since a single booking is typically for one vehicle type

Scheduling & Buffer Time

Off-road vehicles need generous buffer time between rentals:

DurationPriceBufferWhy
1 Hour$7530 minVehicle inspection, refuel, prep
2 Hours$13030 minSame
Half Day (4 hours)$20045 minMore thorough inspection, wash
Full Day$30060 minEnd-of-day inspection, maintenance check

The buffer accounts for vehicle return, damage inspection, cleaning, refueling, and staging for the next rental. Don't skimp on this — off-road vehicles take real wear and need proper turnover time.

For guided trail rides, add extra buffer for the safety briefing before departure (e.g., 15 minutes of briefing + 15 minutes post-ride for vehicle inspection = 30 minutes total).

Guided Trail Rides

Many ATV businesses offer guide-led group rides alongside self-serve rentals.

Guided Desert Trail RideTourSingle-Rider ATV (qty: 4)Per person, $95/person
Sunset UTV TourTour2-Seater UTV (qty: 3)Per person, $120/person
  • Split fleet quantities between rentals and guided rides
  • Add guides as facilitators under Location > Facilitators tab
  • Use Specific Times for tour departures (e.g., 9:00 AM, 1:00 PM, sunset)
  • Set Guest Limit on the tour's Manifest tab based on group size and trail capacity
  • Set Guest Minimum if tours only run with enough riders

Waivers & Safety

Waivers are mandatory for every ATV and off-road rental. Create comprehensive waivers under Resources > Waivers.

What to Include

  • Liability release and assumption of risk — off-road activities carry inherent danger
  • Vehicle operation acknowledgment — "I understand how to safely operate this vehicle"
  • Safety rules acceptance — speed limits, trail boundaries, prohibited behaviors
  • Valid driver's license confirmation — required for self-guided rentals in most jurisdictions
  • Insurance/damage responsibility — customer acknowledges financial responsibility for damage
  • Protective gear acknowledgment — "I will wear the provided helmet and protective gear at all times"
  • Medical fitness — "I am physically able to operate an off-road vehicle"
  • Passenger consent — for UTV passengers who aren't driving

Waiver Workflow

  1. Link waivers to each activity — they appear during checkout
  2. Include signing links in confirmation emails
  3. All riders and passengers must sign — this is critical for off-road
  4. At check-in, verify waivers are signed before releasing any vehicle
  5. For walk-ins, use a tablet at the front desk

Custom Fields for Safety

On each activity's Custom Fields tab, collect:

  • Driver's license number (required for self-guided rentals)
  • Date of birth — verify age requirement (16+ for ATVs, 18+ for UTVs in many states)
  • Experience level — None, Beginner, Experienced (helps your team decide on vehicle assignment and briefing depth)
  • Weight — some vehicles have weight limits
  • Number of passengers — for multi-seat UTVs

Relevant docs:

Taking Bookings

  • Online bookings — customers select a vehicle type, duration, date, and time slot
  • Walk-in bookings — staff create bookings from the dashboard
  • Guided ride bookings — customers pick a tour time and number of riders
  • Real-time availability — prevents double-booking on every vehicle, even when online and walk-in bookings overlap
  • Booking calendar — shows the day's lineup so your crew knows which vehicles to prep

Payments & Deposits

Off-road vehicles are high-value assets, making deposits and damage waivers important:

  • Online payments via Stripe for advance bookings
  • In-person payments via Stripe Terminal at the front desk (Company Settings > Card Readers)
  • Down payments — collect a deposit at booking (e.g., 50%) and charge the balance at pickup. Configure on each activity's Payment tab.
  • Security deposits / card holds — use the down payment system to authorize a damage hold on the customer's card
  • Taxes and fees — fuel surcharges, trail access fees, insurance fees, damage waivers under Resources > Taxes & Fees
  • Trip protection — offer optional cancellation/damage protection at checkout (activity's Trip Protection tab)
  • POS for selling gear, fuel, snacks, and merchandise

Relevant docs:

Customer Management & Marketing

  • Customer profiles — track rental history, vehicle preferences, and spending
  • Tags — "Experienced Rider", "UTV Family", "Corporate Group", "Repeat Customer"
  • Automated workflows — send a thank-you email after the ride with photos and a review request
  • Seasonal campaigns — promote fall/spring riding seasons, holiday gift cards, group specials
  • Coupons — partner with hotels, resorts, and tourism offices for referral codes
  • Gift cards — ATV experiences make popular gifts for birthdays, Father's Day, and corporate rewards

Relevant docs:

Reporting

  • Vehicle utilization — see which ATVs/UTVs are rented most and identify underused inventory
  • Revenue by activity — compare self-guided rentals vs. guided trail ride revenue
  • Maintenance planning — high-utilization vehicles may need more frequent service
  • Seasonal trends — year-over-year comparisons for fleet investment decisions
  • Booking sources — understand whether customers come from your website, Google, hotel referrals, or walk-ins
